 Act as confidential administrative assistant in the executive department, managing directors calendars and schedules, screening callers and arranging appointments, meetings and conferences, as directed.  Assist in the preparation of the directors works, prepare expenditure estimates, gather and organize supporting data.  Design, establish and maintain a management information system, including physical and electronic files, for the MDs. Prepare reports as directed.  Respond to public inquiries on the telephone and in person with visitors to the executive department. Provide information and assistance to the public in a courteous manner and with sensitivity to the diversity of a multi-cultural audience. Resolve complaints within scope of information and authority and refer to others, as appropriate.  Transcribe dictated or written materials, using shorthand, dictation equipment or handwritten drafts. Takes minutes at meetings, as required.  Operate office equipment including copiers, facsimile machines and computers; input and retrieve data and text; organize and maintain disk storage and filing  Research and coordinate various activities and details associated with meetings, retreats and business trips. Prepare Office travel expense reports.
Administration &secretarial skills (filing, typing, booking flight tickets, hotel reservations,…etc.) Excellent communication skills Able to work under stress
