Description | Act as confidential administrative assistant in the executive department, managing directors calendars and schedules, screening callers and arranging appointments, meetings and conferences, as directed. Assist in the preparation of the directors works, prepare expenditure estimates, gather and organize supporting data. Design, establish and maintain a management information system, including physical and electronic files, for the MDs. Prepare reports as directed. Respond to public inquiries on the telephone and in person with visitors to the executive department. Provide information and assistance to the public in a courteous manner and with sensitivity to the diversity of a multi-cultural audience. Resolve complaints within scope of information and authority and refer to others, as appropriate. Transcribe dictated or written materials, using shorthand, dictation equipment or handwritten drafts. Takes minutes at meetings, as required. Operate office equipment including copiers, facsimile machines and computers; input and retrieve data and text; organize and maintain disk storage and filing Research and coordinate various activities and details associated with meetings, retreats and business trips. Prepare Office travel expense reports. |
Qualifications | Administration &secretarial skills (filing, typing, booking flight tickets, hotel reservations,…etc.) Excellent communication skills Able to work under stress |
